WhatsApp Appointment Booking for Clinics: How It Works, Step by Step

MyClinicDesk Team··6 min read

Many patients already message their clinic on WhatsApp. They send "Is doctor there today?" at 9 PM, a voice note asking for a slot on Saturday, or a photo of last month's prescription. At a small clinic, a person at the front desk answers these messages between patients. They check the appointment register and reply when they have a free minute.

WhatsApp booking moves that conversation into a system that answers at once and books into the same calendar your staff use. This guide follows one booking from the first message to the visit, so you can judge whether it fits your clinic.

Why WhatsApp, and why now

In February 2021, the Government of India counted 53 crore WhatsApp users in the country. The figure is in its release on the IT Rules. Your patients have the app already, and they know how to use it without instructions.

Private doctors and private clinics carry a large share of outpatient care in India. The National Statistical Office did the latest national health survey. For ailments that did not need a hospital stay, private doctors and private clinics gave 42.5% of the treatment. At a small clinic, patients reach the front desk by phone or by WhatsApp.

Step 1: The patient sends a message

The patient writes to the clinic as they write to a person: "Tooth pain since yesterday, can I come tomorrow morning?" They can type in their own language or in English letters, or they can send a voice note.

With MyClinicDesk's WhatsApp front desk, the patient reaches the booking number through the clinic's own link and QR code. You print the QR code at reception. You put the link in your Google profile and your Instagram bio. Every message from the link or the QR code goes to your clinic.

The software changes each voice note into text before the assistant reads it. The assistant replies in the language and script that the patient used. A patient who writes in Malayalam gets a reply in Malayalam. A patient who types Tamil in English letters gets Tamil in English letters.

Step 2: The assistant finds a free slot

The assistant reads the request and looks at your calendar for that day. The software checks each slot against your hours and the appointments already booked. The language model only reads the message and writes the reply, so it cannot offer a time that is taken.

If the patient described a complaint, such as tooth pain, the assistant keeps it with the booking and does not ask again. Your doctor sees the reason on the appointment before the patient walks in.

If the patient asks for a day the clinic is closed, the reply says so and offers the next open day.

Step 3: The booking lands in your calendar

The patient picks a time and gives their name. Then the software saves the appointment to your MyClinicDesk calendar. Your staff see it in the same list as walk-ins and phone bookings, and nobody copies it from a chat into a register.

A patient who is new to the clinic gets your registration form with the confirmation. They fill in their details and medical history on their own phone before the visit. Their answers become their patient record, with an OP number. The front desk does not type the name, age or phone number.

Step 4: Reminders go out before the visit

By default, every appointment sends the patient a WhatsApp reminder 24 hours before the visit and another 3 hours before. The patient can reply to move or cancel it, and the change shows in your calendar.

Reminders work because patients forget, and a forgotten booking becomes an empty slot. A Cochrane review of seven trials compared text message reminders with no reminder. Without a reminder, 67.8% of patients attended. With a text reminder, attendance rose to 78.6%.

If your clinic loses slots to repeat cancellations, you can set a cancellation fee that applies after a number of free cancellations you choose. The patient pays it by UPI from a link in the chat.

Step 5: The visit, the bill and the follow-up

After the visit, staff send the bill or the prescription to the patient on WhatsApp in one tap from the patient record. The record shows the dues until the patient pays them. When the doctor sets a follow-up date, the patient gets a reminder on that day.

What the assistant does not do

The assistant handles appointments and answers questions about timings and fees from the information your clinic gives it, and it gives no medical advice.

These cases go to a person:

  • A patient asks about symptoms, medicines or treatment.
  • A message mentions severe pain, bleeding, a fall, swelling or numbness. The assistant tells the patient to call or come to the clinic now. The chat goes to your staff, marked urgent.
  • The assistant is unsure what the patient wants.
  • The patient asks for a person.

When the assistant gives a chat to your staff, it stops replying in that chat. Then the assistant and your staff do not both reply to the patient. Every conversation stays on your WhatsApp page in MyClinicDesk, where your staff can read it and reply.

What it costs and how it starts

The WhatsApp front desk is ₹1,999 a month, and it includes everything in MyClinicDesk. Setup is included. We add your doctors, hours and fees, move your records from Excel or your old software, and train your front desk. If it books no appointments in your first 30 days, you get the first month back.

Maybe you only need patient records, billing and prescriptions. Then MyClinicDesk on its own is ₹499 a month, and it also sends the WhatsApp reminders before each appointment.

Is it right for your clinic?

WhatsApp booking helps most when patients already message you to book and your staff answer those messages by hand. It also helps when the phone goes unanswered during busy OPD hours, or when messages arrive after the clinic closes and wait until morning.

If nearly all your patients walk in without booking, start with QR registration at the desk and add WhatsApp booking later.

To see it with your own clinic's hours and fees, book a 15-minute demo.

Run your clinic from one dashboard.

7 days free. No credit card. ₹499 a month after that.
