From Sign-Up to First Patient: How to Set Up MyClinicDesk, Step by Step

MyClinicDesk Team··4 min read

Many doctors delay clinic software because they expect a long setup. They imagine an installation, a training course and weeks of data entry before the first patient.

MyClinicDesk works in the browser on a phone, a tablet or a computer. There is nothing to install. This guide takes you from sign-up to your first registered patient, and then through the settings that you can add later.

Step 1: Sign up

Go to the sign-up page. The form asks for six things:

  1. Your clinic's name.
  2. Your email address.
  3. Your phone number.
  4. How you heard about MyClinicDesk.
  5. A password of at least 8 characters.
  6. The same password again.

You do not need a card. Your 7-day free trial starts when you sign up.

Step 2: Add your clinic logo

The first screen shows three steps to get ready for patients. The first step is your logo.

Open Settings and upload your logo. MyClinicDesk uses it on patient receipts, on your registration QR poster and on your clinic's public pages.

Step 3: Share your registration link

The second step gives you your clinic's registration link and its QR code. Patients open the link or scan the code on their own phone and register themselves. They do not need an app or an account.

Print the QR code and put it at your reception desk. You can also copy the link and send it to a patient on WhatsApp before their visit.

Step 4: Register your first patient

The third step is your first patient. You can do it in two ways:

  • Ask the patient to scan the QR code. They fill in their details and medical history on their phone. The answers become their record, with an OP number.
  • Add the patient yourself from the Patients page.

After this step, your clinic is ready to see patients.

Step 5: Add your prices, when you have time

You do not need every setting on the first day. Add these when you have a quiet hour:

  • Your price list. Staff make each bill from it, so the bill shows each treatment and its price.
  • Your letterhead. Upload it once, and prescriptions print on it. For a full letterhead page, MyClinicDesk finds the header and shows it to you first.
  • Your medicine list. The doctor writes prescriptions from it.
  • Your Google review link. Staff can then send a review request on WhatsApp in one tap.

Step 6: Add your staff

Each person gets their own login. A clinic can have up to three logins, with the owner's login included. Choose what each person can open: patients, billing, appointments, analytics and more.

Step 7: Bring your old records

If your old records are in Excel, you can import them. MyClinicDesk marks likely duplicates before it saves anything.

If your records are on paper, you do not need to type them all first. Register returning patients when they next visit, and their record starts from that visit.

What happens on its own from the first day

When you book an appointment, the patient gets a WhatsApp confirmation at once. They get reminders 24 hours and 3 hours before the visit. When the doctor sets a follow-up date, the patient gets a reminder on that day.

These messages need no setup from you.

If you want help

Some clinics prefer that we do the setup. With the WhatsApp front desk plan, setup is included. We add your doctors, hours and fees, move your records from Excel or your old software, and train your front desk.

On any plan, the first screen has a link to message us on WhatsApp.
