What a Clinic Front Desk Does All Day, and Which Parts Patients Notice

MyClinicDesk Team··5 min read

The front desk of a small clinic is one person, or two, with a phone, a register and a queue. The doctor sees patients in the room. The front desk does everything else that keeps the day moving.

Most clinic owners know the front desk is busy. Few owners have written down every job the desk does. When you write the jobs down, you can see which jobs patients notice, and which jobs only use up your staff's time.

The jobs, in the order of a normal day

A receptionist at a small clinic does these jobs every day, often at the same time:

  1. Opens the clinic and checks the appointment register for the day.
  2. Answers phone calls about timings, fees and free slots.
  3. Writes new bookings into the register or a diary.
  4. Replies to WhatsApp messages that came in the night before.
  5. Greets each patient and finds their old card or file.
  6. Registers new patients: name, age, phone, address and medical history.
  7. Gives each new patient an OP number.
  8. Tells the doctor who is next, and keeps the queue in order.
  9. Writes the bill, takes the payment and gives a receipt.
  10. Notes who still owes money.
  11. Calls patients who must come back for a follow-up.
  12. Calls patients to remind them about tomorrow's appointments.
  13. After closing, adds up the cash and the UPI payments.
  14. Files the cards and the paper forms.

Each job is small. The problem is that the jobs come together. The phone rings while a new patient fills a form. A WhatsApp message asks for a slot while the receptionist writes a bill.

The parts patients notice

Patients do not see the register or the filing. They see four things.

How fast someone answers. A patient who calls three times and gets no answer often goes to another clinic. A patient who sends a WhatsApp message at night and gets no reply until noon feels the same.

How long they wait. Waits in India can be long. A study at a tertiary hospital in Faridabad measured a mean wait of 38.2 minutes to register. Then patients waited again to see the doctor. A small clinic is faster than a big hospital, but the patient still counts every minute at the desk.

Whether the clinic remembers them. A returning patient expects the clinic to know them. When the receptionist asks for their age and their medical history again, the patient notices.

How clear the bill is. A handwritten bill with no breakdown makes patients unsure. A clear bill that arrives on their phone makes them trust the clinic.

The parts patients never see

Patients never see the end-of-day cash count, the search for an old card, or the list of follow-up calls. These jobs use up the most staff time, and they are the jobs most often left for later.

When the desk is busy, the follow-up calls stop first. Then the reminder calls stop. The patient who needed a review in two weeks does not hear from the clinic. That patient does not come back, and the clinic does not know why.

What a simple system takes off the desk

A simple clinic system takes over the repeat jobs. It does not add a new job for the receptionist to manage.

MyClinicDesk takes these jobs off the desk:

  • Registration. New patients scan a QR code at the desk and fill the form on their own phone. Their answers become their record with an OP number.
  • Finding the old card. Staff search by name, phone or OP number, and the full record opens with every past visit.
  • Reminders. Every appointment sends the patient a WhatsApp reminder 24 hours before and another 3 hours before.
  • Follow-ups. When the doctor sets a follow-up date, the patient gets a WhatsApp message that day.
  • Bills. Staff make the bill from your price list and send it on WhatsApp in one tap. The record shows any balance due.
  • The day's total. The reports show what the clinic billed and what it collected.

With the WhatsApp front desk, the assistant also answers booking messages at any hour and puts each booking in the same calendar.

What stays with your staff

Your staff still greet patients, keep the queue calm and help people who are worried or in pain, and this work needs a person.

When the repeat jobs move into the system, your receptionist has more time for each patient at the desk. The patient gets a faster answer, a shorter wait and a clear bill.
