Appointment Reminder Message Templates for Clinics (WhatsApp and SMS)
Below are fourteen appointment messages a clinic can copy and send, grouped by the moment they are for. Each one names the clinic, gives the date and time, and tells the patient how to change the booking, because a reminder the patient cannot answer leaves an empty slot. After the templates are the rules that decide how you may send them: Meta's policy for WhatsApp, and TRAI's regulations for SMS.
Replace the words in curly brackets with your own details. For why reminders matter and how to set up a sequence, see our guide to WhatsApp appointment reminders.

Writing your own
- Name the clinic in the first line. A reminder from an unknown number that does not say who it is from looks like a scam.
- Keep health details out. Write "your appointment" and leave the diagnosis and the procedure for the visit. Meta's policy tells businesses not to send health information over WhatsApp where local rules require stronger protection for it, and a short message with no clinical detail is safe wherever it is read.
- Give one way to answer. YES, CHANGE or a phone number, and nothing that needs a link the patient has to trust.
- Leave out offers. On SMS, adding promotional content to a reminder turns the whole message into a promotional one (more on this below).
The WhatsApp rules
Meta's WhatsApp Business Messaging Policy sets three conditions that apply to clinics.
Opt-in first. "You may only contact people on WhatsApp if: (a) they have given you their mobile phone number… and (b) you have received opt-in permission from the recipient". A line on the registration form, such as "I agree to receive appointment messages from the clinic on WhatsApp", is the simplest way to get it.
Templates outside the 24-hour window. "You may reply to a user message without use of a Message Template as long as it's within the 24-hour customer service window, which opens and resets with each user message. Outside the 24-hour customer service window, you may only send messages via approved Message Templates." A day-before reminder usually falls outside that window, so on the WhatsApp Business Platform it has to be an approved template.
Template categories. "Each template must be categorized as authentication, marketing, or utility" (Meta developer documentation). Meta's template guidelines define utility templates as non-promotional and specific to the user's order or account. A reminder about a booked appointment meets both tests. A message that also advertises a new service may be classed as marketing, which costs more per message. Meta's pricing page adds that "Utility templates delivered within an open customer service window are free."
The SMS rules in India
SMS from a business in India goes through TRAI's Telecom Commercial Communications Customer Preference Regulations, 2018 (consolidated text, May 2026). Under them:
- Messages go out under a registered header, "an alphanumeric string of maximum eleven characters or numbers" assigned to the sender.
- The wording is registered in advance as a content template, "for sending transactional message, service message" and other types.
- A service message to your own customer about "delivery of goods or services" is "not promotional in nature" and does not "require Explicit Consent". An appointment reminder is that kind of message.
- But "if promotional content is mixed with any type of Transactional or Service Message, such Message shall be treated as a Promotional Message", and promotional messages can only reach people who have consented to them.
Your SMS provider registers the header and templates on its DLT platform with you. The reminders above work as service-message templates as long as they carry no offers.
Sending them automatically
Sending these by hand works for a few appointments a day. Past that, the evening reminders are the first thing to slip. In MyClinicDesk, booking an appointment sends the patient a WhatsApp confirmation, reminders follow 24 hours and 3 hours before the visit, and moving or cancelling the appointment updates them. The messages go out as approved WhatsApp templates from MyClinicDesk's own business number, so the clinic does not need to set up the WhatsApp Business Platform itself.
