Can an AI Assistant Book Appointments for a Clinic Safely?
Doctors ask us the same questions about an AI assistant on WhatsApp. Will it give medical advice? Will it book a slot that is already taken? What will it say to a patient in pain?
These questions are correct to ask. An assistant that talks to your patients speaks for your clinic. This article explains how the assistant in the MyClinicDesk WhatsApp front desk handles each risk.
The main rule: the language model does not make decisions
The assistant uses a language model to read the patient's message and write a reply. The model is good at language. It is not trusted with facts about your calendar.
The software decides every fact that matters:
- Free slots. The software checks each time against your hours and your booked appointments when it books. The model never decides that a slot is open. It can only offer times that the software returned.
- The confirmation. The software writes the line with the date and time. If a booking fails, no confirmation goes out.
- Which appointment to change. A patient can move or cancel only their own future appointments at your clinic. The model sees only that list.
These rules are in the code, and tests check them. They do not depend on the model to behave well.
It gives no medical advice
The assistant books, moves and cancels appointments. It also answers questions about timings and fees from the information your clinic gives it.
It does not diagnose, suggest exercises, name medicines or give an opinion on the problem. If a patient asks for any of these, the assistant offers an appointment and gives the chat to your staff.
A patient can still say why they are coming, such as "tooth pain" or "knee injury". The assistant keeps that reason with the booking, so the doctor sees it before the visit.
Patients who may need care today
Some messages need a fast human answer. If a patient mentions severe pain, a fall, swelling, numbness or bleeding, the assistant tells them to call or come to the clinic now. It marks the chat urgent for your staff.
The assistant never writes a phone number or a web address. This rule protects the patient in pain. An invented phone number is dangerous, so a separate check blocks any reply that has a phone number in it.
It does not invent facts about your clinic
The assistant states a fee, an address or an opening time only when your clinic gave it that information. A patient can ask about a fee that you did not list. Then the assistant says that the clinic will confirm it, and continues with the booking.
When it cannot help, a person takes over
The assistant gives the chat to your staff in these cases:
- The patient asks about symptoms, medicines or treatment.
- The message may need care today.
- The assistant is unsure what the patient wants.
- The patient disputes a cancellation fee, or asks for a person.
After the handoff, the assistant stops replying in that chat. Your staff and the assistant never reply to the patient at the same time. Every chat is on the WhatsApp page in MyClinicDesk, so your staff read the full conversation before they reply.
It replies in the patient's language
Patients write in many languages, and many mix English with their own language. The assistant replies in the language and script that the patient used. A patient who types Tamil in English letters gets a reply in Tamil in English letters.
Voice notes work too. The software changes each voice note into text before the assistant reads it.
We tested the replies in Bengali, Gujarati, Kannada, Malayalam, Marathi, Odia, Punjabi, Tamil and Telugu. We also tested Tamil and Hindi typed in English letters.
What you control
You decide what the assistant can tell patients: your hours, your services, your fees and any notes such as parking. You can also set a fee for repeat cancellations, with a number of free cancellations first.
You can read every chat, and your staff can reply in any chat at any time.
Is it safe enough for your clinic?
No system is perfect. We built the assistant so that a language mistake cannot change your calendar, and anything clinical goes to a person.
To see the assistant answer messages for your own clinic, book a 15-minute demo. If it books no appointments in your first 30 days, you get the first month back.
